Q: What is a VA (Virtual Assistant)?
A: A VA / virtual assistant is a virtual professional / independent contractor and not an employee that offers services specific to each individual VA’s / virtual assistant’s specific skill set to virtually any type of business / industry.
At Rhonda’s Virtual Office I am a business owner (independent contractor) that offers a variety of virtual assistant services of which you can view a complete list of those services on our services page.
Q: Why Rhonda’s Virtual Office?
A: We provide quality solutions to assist you in freeing up your time and allowing you to do the more pressing tasks. We take pride in our business and our team members on being Professional with the highest ethics. Our team has 25 plus years experience and are all highly qualified and certified to work in the Virtual Assistant industry.
Q: How do I know if the VA (Virtual Assistant) is working if I cannot see them?
A: Remember that your virtual assistant is a business owner and as such will treat your projects as if they are their very own projects. A virtual assistant has a huge stake in how they perform their work. If a virtual assistant does not perform work or satisfactory work then the virtual assistant’s own business reputation is damaged and therefore is highly motivated to complete all projects in a timely and professional manner.

Q: How do I know how much time a VA (Virtual Assistant) is spending on my work?
A: Your virtual assistant can supply you with a Time Sheet upon your request to show you the amount of time spent on each project.
At Rhonda’s Virtual Office we use Time Tracker to track our time and it provides us with reports that can be sent to each client telling the time spent on the project, the project category, and the project description. Reports are prepared and sent to you on a weekly or monthly basis and must be requested by the client.
Q: What if I need services that are not provided by your team?
A: We do our best to fulfill your task requests, and if we have no one on our team that can provide that service we will offer you options. We can search for and contract with a new team member that can meet your needs or we can assist you in finding a Virtual Assistant or Virtual Professional that can assist you with your needs. Allowing us to search for and contract with a Virtual Assistant or other Virtual Professional helps you to keep your free time free and we will oversee all projects that we contract to the new Virtual Assistant or Virtual Professional.
Q: How can we exchange files?
A: There are many ways to exchange files such as email, project management software that can be utilized online, programs such Dropbox or Box.net, mail, and fax.
At Rhonda’s Virtual Office we use Microsoft Outlook, Dropbox, Google Docs, and SendThisFile to share projects and documents.
- Microsoft Outlook can be used by clients to assign tasks and then we would either accept or decline the task right in Microsoft Outlook.
- Dropbox is a program that is downloaded to your computer and folders, files, or documents can be shared by inviting someone to share it with you. The folders, files, or documents are actually stored online, but can be opened on any computer, anywhere, anytime.
- Google Docs – Google has joined the cloud. You can now not just share your documents, but you can also sync with MS Office documents. This allows you to do the work from your computer and sync with Google Docs without actually going online. Making it easier for you to share those documents and have multiple people working on the documents.
- SendThisFile is for sending larger files that might not be easily emailed. This is utilized online at SendThisFile.com or you can go to our website here to send us a file through it.
Q: Is my information secure?
A: Virtual Assistant’s take precautions to ensure that your information is secure by utilizing software programs that are installed on their computer to ensure your projects are secure.
At Rhonda’s Virtual Office we use Norton Anti Virus, Norton and Windows firewalls to prevent virus and hacker attempts.
Q: Is my information confidential?
A: All information is confidential and your Virtual Assistant should provide you with or at least be willing to sign a Non-disclosure agreement / confidentiality agreement ensuring the confidentiality of your documents.
At Rhonda’s Virtual Office we have a standard Non-disclosure agreement that is signed by all parties involved. This would include you the client, all sub-contractors, and myself as the owner of Rhonda’s Virtual Office.
Q: What does a VA (Virtual Assistant) charge?
A: Virtual Assistant’s have different rates for different types of projects, and often offer some sort of pricing packages.
At Rhonda’s Virtual Office we have a standard hourly rate of $30.00, but also offer per project rates and different pricing packages. To learn more about our other rate options please visit our rates page.
Q: What is your turnaround time?
A: Each Virtual Assistant will have a different turnaround time depending on how many clients and projects they have going at the current time, but will be able to let you know the turnaround time before the start of a project.
At Rhonda’s Virtual Office we have a standard turnaround time of 1 – 3 business days for basic tasks. If the task requires more time you will be notified prior to the start of the task.
